Federal Realty is seeking an experienced Legal Operations Specialist to assist with document drafting and negotiation, litigation management, and administrative support. The ideal candidate will have the proven ability to work productively in time sensitive situations, manage deadlines, work in a team environment, and prioritize assigned work. This individual must have the ability to work in a fast-paced environment while demonstrating an excellent attention to detail.

Responsibilities

  • Under the supervision of the Divisional Counsel, draft lease documents from letters of intent and/or lease briefs using internal document production software including Hot Docs and Salesforce.  
  • Adapt lease and contract forms to specific deals, revising existing language based upon comments from tenants and vendors, utilizing internal reference guideline documents appropriately.
  • Compose internal and external correspondence.
  • Process lease documents and secondary documents for electronic signature (DocuSign) and prepare lease abstracts in Salesforce.
  • Analyze and assist with defaults and written responses to tenant legal notices.
  • Provide research and administrative support to the West Coast legal team.
  • Use internal accounting software (JDE) to run account summaries and check for account arrearages.
  • Investigate and gather information from internal and external sources.
  • Complete various other projects and duties as assigned.

Qualifications

  • 3+ years of previous paralegal experience required; significant experience preparing and/or negotiating lease documents and other contracts for a commercial real estate firm highly preferred
  • College degree or paralegal certificate required; bachelor’s degree a plus
  • Knowledge of legal terminology and experience with drafting and negotiating commercial real estate leases and/or other related documents
  • Demonstrated expertise in creating and maintaining documents and formatting, inputting, proof-reading, editing, retrieving, and copying same
  • Excellent written and verbal communication skills
  • Excellent time management skills and attention to detail, with a high degree of accuracy and success in delivering to key deadlines
  • Understanding of and experience with claims, risk management, and/or litigation processes preferred
  • Familiarity with non-disclosure agreements a plus
  • Highly proficient using MSOffice (Outlook, Word, Excel) with the demonstrated ability to learn and use new computer software and systems


Salary Range: The typical base pay range is $75,000-$90,000 per year plus bonus. Salary is determined by job-related skills, experience, and relevant education or training.
