We are currently seeking an Administrative Assistant to join our Construction and Development team in Somerville, Massachusetts. The ideal candidate will be highly organized, manage to deadlines, will be team oriented, and have the ability to prioritize assigned work. 


  • Provide exceptional administration support to the Development and Construction Team
  • Interact with vendors on an ongoing and as needed basis regarding submission of paperwork and payments
  • Prepare and track contracts, change orders, purchase orders and process in DocuSign for execution
  • Review AIA payment applications and lien waivers from General Contractors for completeness and accuracy
  • Initial accounts payable point of contact; Prepare check requests, set up new vendors and process payments in accounting software (Nexus)
  • Track payment status of invoices and correspond with vendors as requested
  • Schedule meetings and arrange travel for department personnel
  • Communicate professionally and as directed with public officials, business partners, C-level executives, consultants and vendors
  • Assist with soliciting Design Team and Contractor proposals
  • Assist with the regulatory agency(s) permit application process
  • Assist with updating project cost and schedule forecasts
  • Coordinate with consultants, vendors, and contractors to close out contracts
  • Maintain electronic project files including coding project paperwork for filing
  • Assist with utility company service applications, billings and transition to operating team
  • Prepare and follow-up with expense reports and timesheets
  • Attend and participate in status and team meetings as needed, prepare and circulate meeting minutes
  • Special projects as assigned


  • Bachelor's Degree preferred
  • 2+ years experience in the architecture, construction and/or related industry in an Administrative Assistant, Project Coordinator or similar role
  • Outstanding interpersonal, written, and verbal communication skills
  • Highly organized, ability to multi-task and prioritize
  • Understanding of the construction and/or development process preferred
  • Proactive and highly professional demeanor with proven ability to take initiative, make solid independent decisions, and follow through with limited guidance and direction
  • Advanced use of MS Office Suite and Outlook; working knowledge of DocuSign and Nexus a plus
  • Familiarity with AIA documents/billing is preferred
  • Ability to work in a fast-paced environment and handle multiple tasks daily
